Etsy templates are pretty, cheap, and static. If what you want is an attractive printed document, they deliver exactly that. They just can't do anything on the wedding day.

What you're actually buying
A typical listing gets you an editable Canva template — usually two or three pages, US Letter and A4, with a pre-filled numbered shot list you customise with your family's names, plus a print-ready PDF. Many are sensibly built, ordering shots from larger groups down to smaller ones because it's easier to take people out of a frame than to bring them in.
That ordering advice is correct and worth internalising regardless of which tool you use. It's the peel-away principle, and it's the single biggest time saver in family formals.
What you're not buying
The template is a document. It has no state, no sharing model, and no behaviour. Once you've typed your family's names into Canva and exported the PDF, that's the end of what it can do for you.
Practical consequences on the day:
- Nothing distinguishes the shot with your grandmother from the shot of the cake table
- Your photographer works from a PDF or a print, so nothing gets checked off in a way anyone else can see
- A second shooter has a separate copy or none
- You cannot tell, at 7 p.m., what's still missing
- Changing anything means going back into Canva and re-exporting
The Canva account tax
“Editable in Canva” means you're signing up for Canva, learning enough of it to safely edit someone else's layout without breaking the alignment, and exporting a PDF. For a $6 purchase that's a surprising amount of work, and a fair number of people abandon it there.
If you love the aesthetics
That's a real reason and I'm not going to argue you out of it — some of these templates are lovely, and if the shot list is going in a planning binder alongside everything else, matching matters.
Buy it, use it for planning, and then spend fifteen minutes putting the final list into the free planner so your photographer has something live. The pretty version goes in the binder; the working version goes on their phone.
